Using Outlook for Email/Fax/Phone? Read This!

If you want to use some version of Microsoft Outlook to contact New Jersey Legislators by phone, fax, email or letter... you need the data. And you need it in usable form to automate messages to multiple recipients. There are now three files online that will give you just that.

 

https://s3.amazonaws.com/NJ2A/NJLegislators-20130204.pst is an Outlook .pst file containing all that information that can be easily imported into Outlook.

 

https://s3.amazonaws.com/NJ2A/NJLegislators-20130204-ReadMe.rtf is a ReadMe file explaining how to use the .pst file if you haven't imported data (contacts) into Outlook before.

 

https://s3.amazonaws.com/NJ2A/NJLegislators-20130204.xls is an Excel spreadsheet containing the raw data for the .pst file, and some additional information. The file can also be used for mailings of various types if you know how to run Excel.

 

The real power of this becomes evident when you want to send emails and faxes repetitively to multiple recipients. By using the built-in lists, or creating your own lists, you can tailor your message according to the recipient and send with one or two moves. You can also print envelopes or labels for hard copy mailings, which are most effective.

 

Great pain has been taken to ensure this data’s accuracy. If you use this and find errors in the data, PM me with the correction and tell me how you verified the corrected data.

 

You can also PM me if you have a question (that has a reasonable length answer). If you know someone who doesn’t read this forum but would like this data, forward them the links.

OK, traced the bad email address back to the original state data file. It should be: [email protected] You can correct this in that contact entry locally. And the address must be corrected in the Group list as well. Outlook doesn't propagate a correction automatically.

 

I am posting a corrected version of the Excel and .pst files now.

Windows 7 most certainly does support Outlook, although only the full version, perhaps not every possible older version, and not Outlook Express. If you don't want to buy Oulook, you can search for the 30 or 60 day trial version and install it temporarily.

 

I checked Windows Live Mail which is included in Windows 7 by default, but that won't import from a .pst file.

 

Outlook will not export to dbx format. Sorry. If you have Excel, download the full spreadsheet and see if you can conveniently copy and paste into your mail client.

better late than never, I just wanted to say thanks as well....I just cleanly imported the PST into Outlook 2010 and it is very nicely organized. I sent emails last night via the Analysis of Assembly Bills to be Heard thread and now going to use your PST to blast out some faxes. I'm going to post your thread back in the above mention thread for any Outlook users that missed this one. Again,just wanted to say thanks for your time and nicely done!

Thanx very much. I had more mass distributions today myself. I'll be there tomorrow in person, locked and loaded.
